Role Overview:

As one of the referrals coordinators for SENse Learning, you’ll join an existing team of referrals coordinators who work hard to understand students’ needs and match them to high-quality associates who deliver student-centred, bespoke and holistic provision. The referrals team is a busy team at SENse Learning, as we receive 300 referrals a term into our service, and each referral needs care and attention to assess.

You’ll be responsible for a case load of local authorities and manage their incoming referrals. You’ll spend your time completing initial assessments for newly referred students, creating costings and sending these to local authorities for approval, and going into detail about what the student really needs from an associate working with them and comparing this to our existing bank of associates to make high-quality matches.

This role would suit a highly organised, self-motivated, compassionate, problem-solver who understands and is passionate about always putting the students at the centre of our provision.

Duties and Responsibilities:

  • Provide efficient, professional and compassionate advice to prospective parents and carers about the provision that we deliver via written and verbal communication
  • Overall responsibility for our referral process
  • Database management – enter and regularly update data accurately and within appropriate timescales
  • An ability to understand students’ needs, ambitions and wishes and match these with appropriate associates to make high quality matches
  • Assess the skills, experiences, personalities and locations of specialist teachers and education mentors to ensure optimal team matching for each student.
  • Facilitate smooth transitions for students who may require changes in their assigned teams for various reasons
  • Collaborate with your colleagues in the referrals team to ensure effective communication and coordination of team changes
  • An ability to work within our internal timescales in order to make timely matches
  • Sit on our interview panel and carry out interviews of our associates
  • Attend home visits as part of our referral process in order to gain the full picture of the student referred
  • Maintain accurate records
  • Regularly liaise with case workers, commissioning schools and social workers as part of the referral process
  • Daily use of our Database system, Airtable, to carry out home visits, create costings and enter student information
  • Understanding EHCP paperwork across a range of local authorities and completing initial assessment of paperwork, against our admissions criteria
  • Regular liaison with our finance and HR teams
  • High level communication with local authorities and on-roll schools, providing updates on the status of a referral and communicating key information regarding start dates
  • Ability to timetable sessions for multiple students.

The duties and responsibilities are difficult to define in detail and may vary from time to time without changing the general character of the duties or level of responsibilities entailed. The post-holder is therefore expected to undertake such other duties as may be requested provided the general character of the duties or level of responsibility does not change. Such variations cannot in themselves justify a reconsideration of the grading of the post.
